An established immigration law firm in Tel Aviv, specializing in U.S. and Israeli business and family immigration law, seeks a highly motivated and experienced Legal Operations Manager. This pivotal role focuses on optimizing legal service delivery and enhancing firm-wide efficiency for continued growth.

The Legal Operations Manager will streamline and optimize the operational aspects of our legal practice. This role bridges legal expertise with business efficiency, focusing on process improvement, technology leverage, vendor management, and enhancing overall productivity. You will drive initiatives that support our attorneys in delivering exceptional client service and scaling our operations effectively.

Responsibilities

• Process Optimization: Analyze, streamline, and standardize legal processes, workflows, and procedures for case preparation, submission, and management. Identify bottlenecks and implement solutions to enhance efficiency and reduce costs.
• Legal Technology: Administer, optimize, and ensure effective utilization of the firm's immigration case management system and other legal tech tools. Evaluate new technologies and provide staff training/support.
• Knowledge Management: Lead the creation, maintenance, and update of legal precedents, templates (e.g., questionnaires, letters), and standard operating procedures (SOPs).
• Vendor & Financial Management: Manage outsourced supplier relationships, including contract negotiation and cost-effectiveness. Oversee processes for filing fees, expense tracking, and related financial workflows.
• Data & Reporting: Develop and track key operational metrics (e.g., case processing times, resource utilization). Generate reports to identify areas for improvement.
• Client Experience: Establish best practices for client communication and expectation management, facilitating smooth information exchange.
• Cross-Functional & Project Support: Coordinate operational support for business development (seminars, conferences) and marketing (website/social media updates). Lead or contribute to ad hoc operational projects.
• Translation: Manage translation needs, occasionally performing light Hebrew to English translations.

Qualifications

• Bachelor's degree in Business Administration, Legal Studies, Operations Management, or a related field.
• Minimum of 3-5 years' experience in Legal Operations, Operations Management, or a Senior Paralegal role within a law firm.
• Proven ability to identify inefficiencies, implement process improvements, and drive change.
• Strong proficiency in legal case management systems and other legal technologies.
• Exceptional project management, organizational, and analytical skills.
• Excellent verbal and written communication skills in both English and Hebrew (bilingual fluency required).
• Ability to work independently and collaboratively.

Preferred Requirements

• Prior experience in an immigration law firm.
• Master's degree or Legal Operations certifications (e.g., CLOC).
• Experience with financial reporting and budget management in a legal context.
