Why the role exists

xfunnel.ai is a leading startup helping companies improve how they appear on AI search engines like ChatGPT, Perplexity, and Google's Gemini. As we scale our operations and serve more elite clients, we need a workflow automation expert to architect and own the systems that power our efficiency. You'll be the backbone of our operational excellence, connecting tools, automating processes, and ensuring our team can focus on strategic work instead of repetitive tasks.

Reports to: C-level / Co-Founder

What you'll do:

• Build and own our automation infrastructure. Design, implement, and maintain workflows across n8n, Make.com, or similar platforms that automate our core business processes.
• Be the process architect. Analyze complex workflows, identify automation opportunities, and build solutions that scale with our growth.
• Connect the dots. Integrate multiple tools and platforms (CRMs, analytics tools, communication platforms, databases) into seamless automated workflows.
• Drive operational excellence. Partner with product, customer success, and growth teams to understand their needs and deliver automation solutions that 10x their productivity.
• Maintain and optimize. Monitor workflow performance, troubleshoot issues, and continuously improve our automation stack.
• Document and educate. Create clear documentation and occasionally train team members on new automated processes.

What makes you a fit:

• 3+ years of hands-on experience building complex workflows in n8n, Make.com, Zapier, or similar automation platforms.
• Deep understanding of APIs, webhooks, and data transformation between different systems.
• Strong analytical mindset with ability to break down complex processes into automated components.
• Experience with spreadsheet automation and data manipulation (Google Sheets, Excel, Airtable).
• Comfortable working across teams to understand requirements and translate them into technical solutions.
• Self-starter who can own projects from conception to implementation.
• Clear communicator who can explain technical concepts to non-technical stakeholders.

Nice-to-haves:

• Experience with JavaScript/Python for custom automation scripts.
• Background in operations, product management, or customer success roles.
• Familiarity with AI/LLM APIs and their integration into workflows.
• Experience in fast-growing B2B SaaS environments.
• Knowledge of data privacy and security best practices in automation.
