Role Description:

We're looking for a dedicated and experienced Head of Administration to be the central pillar of our clinic. In this crucial role, you'll be responsible for the operational and administrative management of our reception team, ultrasound department, lab staff, and acupuncture therapists.

The ideal candidate will ensure smooth and efficient operations across all these units, and coordinate among all departments to guarantee a seamless patient flow, high patient and staff satisfaction, and the achievement of clinic goals. You will report directly to the clinic's VP.

Key Responsibilities

Operational Management

• Responsible for day-to-day operations, shift management, patient scheduling, and check-in/check-out.
• Ensure proper routing and coordination between all teams to guarantee a correct patient flow.
• Handle operational loads and problem-solving.
• Oversee the maintenance and appearance of the clinic.

Improving Patient Experience

• Address patient inquiries and resolve complaints.
• Maintain high service standards.

Team Leader Management

• Manage and lead the team leaders of the clinic departments.

Required Qualifications

• Proven experience in administrative or operational management within a private clinic or medical organization- a must.
• Demonstrated experience in team management- a must.
• Experience working with KPI's and leading a team to achieve targets-a significant advantage.
• Background in sales or customer retention- a significant advantage.
• Strong leadership skills, excellent interpersonal skills, and a high level of service orientation.
• Ability to work independently, with strong organizational and prioritization skills.
