Position Overview

We are seeking a proactive, detail-oriented, and service-driven Office Manager to lead administrative operations and ensure the smooth and efficient running of our office. This is a central role that supports senior management, oversees day-to-day office logistics, and contributes to employee experience and operational excellence. The ideal candidate is highly organized, tech-savvy, and thrives in a fast-paced, dynamic environment. You’ll be the heartbeat of the office-managing calendars, coordinating across teams, supporting HR and administrative processes, and ensuring a positive and professional workplace atmosphere.

Key Responsibilities

Administrative & Calendar Management (70%)

  • Manage complex calendars for the CEO, company owners, and senior executives (approximately six schedules).
  • Schedule and coordinate internal and external meetings, ensuring smooth communication across departments.
  • Prepare and distribute meeting materials, presentations, and reports.

Office Operations & HR Support (30%)

  • Oversee daily office operations, ensuring a clean, organized, and well-functioning work environment.
  • Coordinate onboarding processes for new employees, including logistics, workspace setup, and orientation schedules.
  • Support recruitment logistics- reviewing CVs, scheduling interviews, and managing background checks.
  • Handle employee offboarding processes and ensure administrative compliance.
  • Manage invoices, petty cash, and assist with budget tracking in coordination with the Finance team.
  • Plan and execute office welfare and engagement activities (e.g., monthly happy hours, gift distribution, team events).

Requirements:

  • 2+ years of experience as an Office Manager in a dynamic company.
  • Proven experience managing multiple calendars simultaneously
  • Excellent organizational and multitasking skills, with a keen eye for detail.
  • Strong interpersonal and communication abilities, with a “can-do” service-oriented attitude.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Reliable, proactive, and independent, with the ability to prioritize and manage multiple tasks simultaneously.
  • A team player with strong work ethic and high level of discretion and professionalism.
