About the Position

We’re looking for an organized, energetic, and people-loving Office Manager & Executive Assistant to the CEO to join a fast-growing startup that’s making waves in the AI world.

In this role, you’ll take full ownership of the day-to-day running of the office, provide direct administrative support to the CEO, and lead initiatives that make our company an amazing place to work. From office operations and travel coordination to employee experience and company events - you’ll be the heart of the team, ensuring everything runs smoothly (and with a smile).

Key Responsibilities

  • Oversee daily office operations - supplies, maintenance, mail, and vendor management (cleaning, security, catering, tech support, etc.).
  • Provide proactive administrative support to the CEO: manage scheduling, travel, meetings, and follow-ups.
  • Welcome and onboard new employees, partnering with HR to plan logistics (equipment, desk setup, welcome gifts, etc.).
  • Support employee engagement initiatives - birthdays, anniversaries, swag, and internal celebrations.
  • Maintain a welcoming, functional, and well-organized workspace that reflects our company culture.
  • Plan and manage team events, happy hours, and office activities within the welfare budget.
  • Support office layout, seating plans, and logistics for office moves or expansions.
  • Coordinate company-wide travel (flights, hotels, logistics) for employees and visitors.
  • Be the face of the company for guests and visitors, ensuring a professional and positive first impression.
  • Create and sustain a fun, inclusive, and productive environment.

What We’re Looking For

  • Previous experience as an Office Manager, Executive Assistant, or in a similar operations/administrative role (startup experience is a big plus!)
  • Highly organized, detail-oriented, and proactive - someone who loves making things run efficiently.
  • A true people person with excellent interpersonal and communication skills.
  • Ability to manage multiple priorities and stay calm under pressure in a fast-moving environment.
  • Passionate about improving processes and creating great employee experiences.
  • High level of written and spoken English - must!
