Duration: 6–9 months (Maternity Leave Cover) (80% position)

Department: International Sales

Reports to: VP, International Relations

We are looking for a highly organized and detail-oriented individual to join our team as a temporary Back Office Sales Coordinator & Personal Assistant to the VP of International Relations. This on-site role is designed to cover a maternity leave period and is critical to ensuring the smooth operation of the international sales function.

Key Responsibilities

Back Office Sales Coordination

• Manage and maintain sales documentation, contracts, and client records

• Support the preparation of sales reports, presentations, and performance tracking

• Coordinate internal processes and follow-ups with cross-functional teams (legal, finance, operations)

• Assist in organizing international sales meetings, events, and travel logistics

Executive Support

• Provide comprehensive administrative support to the VP of International Relations

• Manage complex calendars, schedule meetings, and coordinate appointments

• Prepare meeting materials, agendas, and summaries

• Handle confidential correspondence and communications

• Serve as the primary point of contact for internal and external stakeholders on behalf of the VP

Qualifications

• Proven experience in a back office, sales support, or executive assistant role

• Strong organizational and multitasking abilities

• Excellent communication skills in English (written and verbal)

• Proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and CRM tools

• Ability to work independently, prioritize tasks, and maintain confidentiality

• Experience in the media or international business environment is an advantage
